About the Position:
A local government organization is seeking a dependable, detail-oriented Office Secretary / Administrative Assistant to manage daily office operations. The ideal candidate will be organized, professional, and able to work in an environment that involves interaction with elected officials, board members, and the public. This position requires someone with strong communication skills, and the ability to remain calm and professional in all situations.
Key Responsibilities:
Maintain accurate and organized filing systems (digital and paper) for records, reports, and correspondence.
Process accounts payable, accounts receivable, and payroll using QuickBooks.
Prepare invoices, financial reports, and bank reconciliations.
Handle phone calls, emails, and walk-in inquiries from residents and vendors.
Prepare meeting agendas, minutes, and official documentation for supervisors or board members.
Support day-to-day administrative functions and township operations.
Utilize real estate and property boundary knowledge to assist with zoning, maps, and land records.
Work professionally with elected officials, board members, and the public—maintaining confidentiality and neutrality.
Qualifications:
Proficiency in QuickBooks and general accounting functions.
Strong organizational, time management, and communication skills.
Ability to work independently and handle sensitive information.
Familiarity with real estate boundaries, maps, and property records preferred.
Experience with Microsoft Office (Word, Excel, Outlook).
Prior experience in an office, government, or administrative setting preferred.
Must be able to maintain professionalism and composure in a politically diverse environment.
