Job Overview
We’re looking for a highly organized, resourceful, and detail-obsessed Procurement Coordinator to support our growing residential renovation team. This role is vital to ensuring our kitchen and bath remodels run smoothly from the first order to the final fixture. If you love managing moving parts, communicating with clarity, and keeping projects stocked, on time, and on budget—this is the role for you.
You won’t just be placing orders you’ll be building systems, solving problems, and acting as the central link between vendors, designers, project foreman, and warehouse teams. In a fast-moving, quality-driven environment, your ability to anticipate needs and stay one step ahead will make a massive difference in client satisfaction and project success.
Responsibilities
Procurement & Inventory
Source, order, and manage materials, finishes, fixtures, hardware, and custom components for residential renovation projects
Ensure every item aligns with designer specifications, lead times, and installation sequences
Monitor inventory levels and warehouse flow to avoid shortages, double ordering, or waste
Track and manage purchase orders from issue to delivery, ensuring every shipment arrives complete and on time
Maintain and update procurement logs, vendor records, and material databases
Vendor & Supplier Relations
Build and manage strong relationships with both local and national suppliers
Negotiate pricing, terms, lead times, and delivery schedules for optimal value
Resolve shipment issues, product discrepancies, backorders, and delays quickly and professionally
Stay current on product availability, trends, and material innovations
Project Coordination & Communication
Collaborate closely with designers, estimators, and project foreman to forecast material needs
Ensure all ordered materials align with the job scope and client selections
Provide real-time updates on order statuses, delivery ETAs, and any procurement risks
Assist with job site delivery scheduling and staging coordination
Administrative & Office Support
Answer phone calls and route communications professionally
Respond to email inquiries and maintain timely, organized communication
Assist walk-in clients and maintain a clean, welcoming office environment
Support broader office needs including scheduling, filing, and light coordination
Skills
Strong knowledge of Federal Acquisition Regulations and compliance requirements.
Proficiency in logistics management and supply chain processes.
Expertise in root cause analysis techniques for problem-solving in procurement.
Excellent negotiation skills with a focus on achieving favorable contract terms.
Ability to analyze pricing structures and make informed purchasing decisions.
Strong communication skills, both verbal and written, for effective collaboration across departments.
2+ years of experience in purchasing, supply chain, construction coordination, or project logistics
Familiarity with construction materials, home finishes, or custom product lead times is a major plus
Exceptional organization skills and attention to detail
Clear, professional communication in person, by phone, and in writing
Proficient in Microsoft Office Suite and purchasing software (QuickBooks, BuilderTrend, or similar is a plus)
Calm under pressure and solution-focused when timelines shift or product issues arise
Comfortable working in a fast-paced, team-first environment
High school diploma or equivalent required
Associate or Bachelor’s degree in Business, Supply Chain Management, Construction Management, or a related field is a plus
Must have Valid Drivers License and reliable transportation
Must be able to pass pre employment screenings and background check
